This Privacy Policy describes how Epicentra LLC ("Epicentra," "we," "us") collects, uses, stores, and protects information in connection with your use of the Rah-AI: The Scout platform ("Platform"). By using the Platform, you agree to the practices described in this Policy.
When your Program is granted access, we collect: username, program name, user role, and login timestamps. We do not collect billing information directly.
We collect data you actively create: roster configurations and NIL budget preferences, player watchlists and notes, scouting notes attached to player profiles, and profile evaluations.
The Platform indexes publicly available statistical data about collegiate athletes including game statistics, school and conference affiliation, eligibility year, and position. We do not collect private medical, financial, or personal communications data about student-athletes.
We automatically collect: IP address and browser/device type, pages accessed and features used, error logs and performance data, and session duration. This data is used solely for platform security, debugging, and performance monitoring.
We record your acceptance of these Terms including: username, ToS version accepted, timestamp, IP address, and browser user agent. This creates an immutable legal audit trail.
We do not sell, rent, or share your data with third parties for marketing or advertising purposes.
Each Program's User Data is strictly isolated. Your rosters, notes, watchlists, and budget preferences are accessible only to authenticated users within your Program. No cross-Program data access is permitted at any level of the system.
Security measures include: JWT-based authentication with expiring tokens, encrypted data transmission (TLS 1.2+), database-level row isolation by username, and access logging for all sensitive endpoints.
Active account data is retained for the duration of your authorized access. Following termination, User Data is retained for up to 12 months in secure backup storage, then permanently deleted. You may request deletion at any time by contacting privacy@epicentra-llc.com.

We do not integrate with any NIL marketplace, NCAA clearinghouse, CSC reporting platform, or athlete data broker. Rah-AI: The Scout does not report any data to NIL Go or the CSC on your behalf.
Epicentra uses only publicly available statistical information. We do not create individual profiles for commercial sale, contact student-athletes directly, or use player profile data for any purpose other than generating statistical tier evaluations for your Program's internal use.
Authorized Program users may access and export their User Data, request correction of inaccurate data, and request deletion of their Program's User Data. Contact privacy@epicentra-llc.com. We will respond within 30 days.
If your institution is subject to GDPR or CCPA, contact legal@epicentra-llc.com to request a Data Processing Agreement (DPA).
We may update this Privacy Policy with 14 days' notice of material changes. Version history is maintained and available upon request.
